Privacy Policy

This Privacy Policy describes how crewd. collects, uses, protects, discloses, and lets you control your personal information, including your mobile phone number and text-messaging consent.
1.Who we are
crewd. (“crewd.”, “we”, “us”, or “our”) operates a staffing and dispatch service in the Ottawa–Gatineau, Canada region. We receive job requests, offer available shifts to workers enrolled in our labour pool, and coordinate the resulting crews. This Privacy Policy explains what personal information we collect, why we collect it, how we protect it, and the choices and rights you have.
This policy is written to meet Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s Anti-Spam Legislation (CASL), and Quebec’s Law 25 (the Act respecting the protection of personal information in the private sector), since we operate in both Ontario and Quebec.
2.Personal information we collect
We collect personal information directly from you — when you enroll, complete our consent form, exchange text messages with us, or call our line — and not from third-party data brokers. We collect:
- Contact and identity information — your name and mobile phone number.
- SMS consent audit record — the date and time you opted in, the IP address you opted in from, and the version and language of the consent wording you agreed to. We keep this as proof of your consent under CASL.
- Work and dispatch information — your service areas (zones), skills, active status, the offers we send you, your replies (yes / no / unclear), and whether you were selected for a job.
- Job and location information — the addresses and locations submitted for a job, which we resolve and validate through a mapping provider.
- Message and call content — the text of SMS messages you exchange with us, and — for calls to our line — the call audio and a transcript produced by our automated phone assistant.
3.Why we collect it
We use each category of information only for the purpose we collected it for:
- Your name and mobile number — to send you work-offer and job-dispatch text messages and to confirm your availability.
- Your consent audit record — to prove you opted in and to honour opt-outs.
- Your zones, skills, and replies — to match you to suitable jobs and tally who is available. A person, not software, always makes the final crew selection.
- Job addresses — to resolve and validate the location of a job.
- Message and call content — to understand your replies and calls, draft operator communications, and run intake.
We do not use your information to build advertising profiles, and we do not use it for any purpose unrelated to running the staffing service you enrolled in.
4.Text messaging (SMS) and your mobile information
Our text-message program sends work-offer and job-dispatch text messages (shift availability, job details, and confirmations) to enrolled workers in crewd.'s labour pool who have given express consent, from a verified Canadian toll-free number. Message frequency varies and depends on available work; it is not a fixed number per week. Message and data rates may apply.
We disclose your mobile number and messages only to our messaging service provider (Twilio) strictly to deliver the messages you have consented to receive. That provider processes this data on our behalf and is contractually bound not to use it for its own marketing.
How you opt in
You opt in through a private, single-use link we send you, agree on a bilingual (English / French) web consent form, and then receive a confirmation text. Consent to receive text messages is express, specific to this work-dispatch program, and is not a condition of enrollment or employment. We record the date, time, IP address, and consent-language version as proof.
How you opt out
You may withdraw your consent at any time. Reply STOP (or ARRÊT) to any message to unsubscribe, or HELP (or AIDE) for assistance. Replying STOP or ARRÊT stops messages at the carrier level and revokes your consent in our system; we honour opt-outs without delay and in no case later than 10 business days. Rejoining requires a fresh opt-in link.
5.Service providers we share information with
We share personal information only with the service providers below, each of which processes it on our behalf, under a written agreement, solely to deliver our services — never for their own marketing. As stated above, SMS opt-in and consent data is disclosed only to our messaging provider to deliver the messages you consented to.

We do not sell your personal information, and we do not share worker contact information with anyone for advertising or lead-generation.
6.Processing outside Québec and Canada
Our service providers listed above are located in the United States, so your personal information — including your name, mobile number, message and call content, and job addresses — may be processed or stored outside Québec and outside Canada. Before transferring personal information outside Québec, we conduct a privacy impact assessment and put a written agreement with protective measures in place, as required by Law 25.
Because this data is handled in the United States, it may be subject to lawful access requests by U.S. government authorities and courts under the law of that jurisdiction.
7.How long we keep your information
We keep personal information only as long as needed for the purpose it was collected, subject to two competing duties we manage explicitly:
- Consent records are retained for as long as you are enrolled and for a reasonable period afterward, because CASL requires us to be able to prove your consent.
- Message logs, replies, and call transcripts are retained for the period needed to operate and account for the dispatch service, then destroyed or anonymized.
When the purpose for a piece of personal information is fulfilled and no legal duty requires us to keep it, we destroy or anonymize it in accordance with our internal retention-and-destruction schedule.
8.How we protect your information
We apply technical and organizational safeguards appropriate to the sensitivity of the information, including:
- Encryption in transit (HTTPS/TLS) for our dashboard and APIs.
- Access to the operator dashboard restricted by authentication, with access limited to staff who need it.
- Signature verification on inbound messaging and call webhooks, and rate limiting on the public opt-in form.
- Contractual security obligations on our service providers.
No system is perfectly secure, but we work to protect your information and to limit who can access it.
9.Automated processing and AI
We use automated tools to run the service: an AI language model helps classify your text replies (yes / no / unclear) and draft operator communications, an AI phone assistant handles inbound calls, and a mapping provider locates job addresses.
No decision that significantly affects you is made solely by automated means. A person always makes the final crew selection, and rates and availability come from our own records — never invented by a model. You may contact us at business@crewd.ai with questions about our automated processing.
10.Your privacy rights
You have the right to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Withdraw consent to our text messages at any time (see the SMS section).
- Request portability — receive the computerized personal information you provided in a structured, commonly used format — and, where applicable, request de-indexing or deletion, under Law 25.
To exercise any of these rights, contact our Privacy Officer at business@crewd.ai. We respond within the timelines set by applicable law (generally 30 days under PIPEDA and Law 25).
11.Confidentiality incidents (data breaches)
If a confidentiality incident occurs, we assess whether it presents a real risk of significant harm (PIPEDA) or a risk of serious injury (Law 25). If it does, we notify the affected individuals and the appropriate regulator — the Office of the Privacy Commissioner of Canada and/or the Commission d’accès à l’information du Québec — as soon as feasible, and we maintain a register of incidents for at least 24 months.
12.Questions and complaints

If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information du Québec.
13.Changes to this policy
We may update this Privacy Policy from time to time. When we do, we revise the “last updated” date above. Material changes to how we handle your personal information will be communicated where required by law.
